Welcome from Co-Coordinators

Amy Furness and Kathleen O’Reilly welcome the participants.  Kathleen O’Reilly introduced the speaker, Door Williams.

Presentation:

Door Williams, Reference Librarian at the Margaret R. and Robert M. Freeman Library of the Virginia Museum of Fine Arts, Richmond, VA, presented on the Virginia Artists Files. This was followed by a question-and-answer session. Questions included a discussion on the use of Archive Space as a search tool, the use of volunteers for inputting the artist file information and the overall lack of staff.

General discussion:

Open discussion:

How do we say “artist files?”  Brief discussion ensued.

Outreach and collection building:

  • Discussion about having artist file fairs and talks
  • Having orientation tours of the library and show and tell of artists files
  • Artist’s forms.  How do we encourage artists to fill them out and send them back?

It was discussed that having the artist’s forms available online on websites would encourage artists to fill them in

Concern about collection gaps:

  • We are seeing more artists create and share their work via Instagram and other social media sites.  There is concern that this data may slip through the cracks and create gaps in our collections.

Closing remarks

Amy and Kathleen closed the meeting by thanking our speaker and thanking all the participants.
